Some people worry about using conference calls because they believe that a phone call can't provide the same intimacy that an in-person meeting can. They worry about allowing everyone to participate, or think they won't be able to distribute useful documents that will make the meeting go over more smoothly. However, these assumptions couldn't be more wrong.
To promote intimacy in conference calls, it's a good idea to go around and have each caller introduce him or herself to the group. This functions similar to an icebreaker, and helps the group feel more comfortable with one another, which facilitates an even, fair exchange of ideas. Callers will likely feel more inclined to participate if they have already spoken a few words to the group, even if it was only their names. This works well on smaller groups, though it may not be possible for very large conference calls with 50 or more participants.
If there are files that you would like to distribute, you have a number of options - and none of them require that you make any trips! You can either send the file in a fax, or attached to an email. Your callers will be able to download and view it, and you'll help save the environment by not printing out hundreds of pages.
Conference calling can do just about everything an in-person meeting can do, as long as you're innovative and informed.
