So you're facilitating your first conference call - congratulations! You may feel nervous or anxious, but don't fret. Following a few simple tips will ensure that the call goes off without a hitch.
Whenever you host any event - be it a conference call, a party or a business meeting - being the first to arrive is of tantamount importance. Log on to the call about five to 15 minutes before the scheduled start time, so you can ensure no one else logs on before you and sits there, confused and waiting. If people do arrive early, you can facilitate comfort and intimacy by asking names or playing a quick icebreaker. When people have introduced themselves, they'll be more comfortable chiming in on the call.
Logging on early also gives you time to set the clock, review the agenda and ensure that everything is in proper working order. It would be a nightmare to log on right at the start time and realize your phone has a low battery or the connection is spotty. Additionally, if you find an error in your agenda, logging on early gives you a chance to revise and reschedule as needed, without feeling harried.
As people join the call, ask if there are any individual constraints. For example, does anybody need to leave early? Knowing these things in advance will mean that nobody has to interrupt the call later, and it won't be perceived as rude when they log off early.
