Dos and Don'ts of conference calls August 30, 2010 .......................................................................
No matter how often you participate in conference calling, everybody can do with a little reminder about the basic etiquette of speaking on the phone with a large group. Below are a few ironclad dos and don'ts of making, listening to and participating in conference calls.
DON'T make a conference call from a cell phone. The service simply isn't reliable enough, and the sound quality can also suffer, depending on where you are when you make the call.
DON'T multitask. If you're participating from home, don't do the dishes, feed the dog or rearrange that big stack of magazines while you're on the call. No matter how quiet you think you're being, highly sensitive phone microphones can big up little sounds and amplify them, irritating everybody else on the call.
DO know the agenda before you participate. When you know what's going to be discussed, you won't have to interrupt to bring up a new topic, only to find out that topic was going to come up later. The entire call will flow much more smoothly if every participant is aware of the topics that will be covered and the order in which they'll be talked about.
DO take notes, if you want to. Do it on a notepad with a pen - this will make less noise than a scratching pencil, and it will be far quieter than the clacking of computer keys. Just try not to rumple the paper too much as you turn pages.
When you follow these simple rules, everybody will walk away from the conference call satisfied.
